Passkey International, Inc., has released a new tool to overhaul the slow and cumbersome process for managing rooming lists. Passkey's new module, aptly named Passkey Room List Manager, streamlines the management of groups by allowing users or their customers to securely upload any spreadsheet based room list into Passkey, eliminating the need to re-key data, guaranteeing data entry accuracy, and resulting in substantial time savings.

Passkey Room List Manager allows several hundred reservations to be entered in a matter of minutes. Passkey Room List Manager users have slashed their reservation entry time by up to 90%, as was the case for Omni Hotel at CNN Center, in Atlanta. According to Brad Anderson, Corporate Director of Revenue Management, Omni Hotels, "Passkey cut hours off of our normal, laborious data entry process. The 'old fashioned way' of re-keying the rooming list instead of instantly uploading the whole list via Passkey's new module is no longer acceptable."

Passkey Room List Manager has been scaled to serve both small meeting needs as well as events as large as the 2004 Democratic National Convention (DNC). The Greater Boston CVB, which managed housing for the DNC, used the new functionality to upload nearly half of the event's 13,000 reservations. Beth Stehley, Vice President Convention Services & Sales for the Greater Boston CVB, explains, "Passkey Room List Manager saved us a month and a half worth of labor!" Stehley continues, "Our client said that the 2004 Convention entailed the most efficient housing process yet."

Passkey users, whether hotels, meeting planners, meeting management companies, or convention and visitors bureaus (CVBs), now have the ability to provide event planners and sub-block managers secure access to their own block or sub-block, so they can upload and manage their own room lists, and even run their own reports. Once uploaded, room lists can be edited as necessary, assigned rooms, and then submitted to Passkey.

An acknowledgement number is automatically generated and each guest receives a confirmation. Reservations can also be modified or cancelled directly in Passkey Room List Manager, providing users complete control over their inventory in a unique location. A variety of reports lets users keep track of their pick-up and room availability. Like other Passkey products, Room List Manager is an Internet-based tool and is available at any time.

Omni Hotel's Anderson sums it up, "Once you use Passkey Room List Manager for your rooming list business, there's no going back. Passkey Room List Manager will change the way hotels manage group business from this point forward!"
